Guild Onboarding Guide

 

Overview

Welcome to the GGU Wizard101 Guild Hub! This guide walks you through every step of the onboarding process — from finding us in-game all the way to becoming a full, active guild member on Discord. Read through the whole thing so you know what to expect.

The Full Journey:

  • 1.Find a guild in-game via the Guild Kiosk
  • 2.Get invited to the Discord server by a member of Wizard101 Leadership
  • 3.Complete Discord onboarding and get your guild role
  • 4.Register your Wizard101 character with the bot
  • 5.Select your guild from the dropdown and fill in your character info
  • 6.Gain access to guild channels
  • 7.Complete Provisional member requirements to become a Full Member
  • 8.Stay active as a Full Member to keep your standing

Step 1 — Finding a Guild In-Game

Using the Guild Kiosk

The Guild Kiosk is located in the Olde Town of Wizard City. It allows you to browse all publicly listed guilds and apply to join one directly from in-game.

  • Open the Kiosk and browse available guilds
  • Look for GGU guilds — they will be listed publicly if they are recruiting
  • Submit a join request through the Kiosk
  • A member of Wizard101 Leadership will review and accept your request
Once accepted in-game, reach out to a member of Wizard101 Leadership — they will send you a Discord invite link to complete the rest of your onboarding.

Step 2 — Joining the Discord Server

Leadership Invitation

After your in-game application is accepted, a member of the Wizard101 Leadership Team will provide you with a Discord invite link. This is required to access guild channels, check-in systems, and bot features.

  • Click the invite link a member of Wizard101 Leadership sends you
  • Log in to Discord or create an account if you don't have one
  • You will be taken directly into the Discord Onboarding process
Make sure you are joining from the link provided by a member of the Wizard101 Leadership Team and not a third-party source. Unverified joins may not be processed correctly.

Step 3 — Discord Onboarding

Answering the Guild Question

When you first join the server, Discord will walk you through a short onboarding questionnaire. One of the questions will ask:

"Were you invited from a Wizard101 Guild?"

  • Select YES if a member of Wizard101 Leadership invited you after your in-game Kiosk application
  • Selecting Yes will automatically assign you the Wizard101 Guild role
  • This role is what triggers the bot to send you your character registration DM
If you accidentally select No or skip this question, contact a member of Wizard101 Leadership — they can manually assign the role.

Step 4 — Getting Your Wizard101 Guild Role

What the Role Does

The Wizard101 Guild role is assigned automatically when you answer Yes to the onboarding question, or manually by Leadership if needed. This role:

  • Marks you as part of the Wizard101 Guild Hub on this server
  • Triggers the bot to send you a character registration DM automatically
  • Grants access to general W101 channels while you complete registration

If you do not receive a DM within a minute of getting the role:

  • Check that your Discord DMs are open (Privacy Settings → Allow DMs from server members)
  • You can also register manually using /w101-register in any bot-enabled channel
  • Contact a member of the Wizard101 Leadership Team if you continue to have issues

Step 5 — Character Registration Bot DM

What to Expect

Shortly after receiving the Wizard101 Guild role, the bot will send you a direct message with a registration button. This is how you register your Wizard101 character and receive your unique Member UID.

The DM will contain:

  • A welcome message explaining the Hub
  • A 📝 Register My Character button — click this to begin

What You Will Need

  • Your Wizard's in-game name
  • Your current wizard level (1–180)
  • Your wizard school (Fire, Ice, Storm, Myth, Life, Death, or Balance)

Step 6 — Guild Selection & Character Info

The Registration Flow

After clicking the Register button, the process is split into two quick steps:

Step A — Select Your Guild (Dropdown)

  • A dropdown menu will appear listing all active guilds on this server
  • Select the guild a member of Wizard101 Leadership invited you to join
  • If you are not yet affiliated with a guild, select "None / Not in a guild yet"
  • You cannot type a guild name — it must be selected from the list to avoid errors

Step B — Fill in Your Character Info (Form)

  • Wizard Name — your exact in-game wizard name
  • Wizard Level — a number from 1 to 180
  • Wizard School — Fire, Ice, Storm, Myth, Life, Death, or Balance
After submitting, the bot will confirm your registration and display your permanent Member UID. Save this — you will use it for check-ins and leadership lookups.

Step 7 — Guild Roles & Channel Access

What Happens After Registration

Once you complete registration and select your guild, the bot will automatically assign your Discord roles:

  • Provisional Member role — assigned immediately on registration
  • Guild-specific role — your guild's dedicated Discord role will be assigned automatically
  • Both roles unlock the appropriate guild channels so you can start participating

Channels You Will Now Have Access To:

  • Your guild's general and activity channels
  • Check-in channels
  • Guild announcements and event channels
  • Museum and progression tracking channels
If any channels appear missing, contact a member of Wizard101 Leadership — role sync can be manually triggered with /w101-sync-guild-roles.

Step 8 — Provisional Member Requirements

What is a Provisional Member?

All new members start as Provisional*. This is a trial period designed to confirm you are an active and engaged member of the guild. It is not a punishment — it is just how we verify that new members are the right fit before granting full standing. *(Players invited via the Friends list will automatically be granted Full Member.)

How to Check In

  • 1.Go to your guild's check-in channel
  • 2.Either click ✅ on the daily check-in post OR run /w101-checkin in any bot channel
  • 3.Optionally include a message about what you did in-game that day
  • 4.The bot will confirm your check-in and show your progress toward the required total

Tracking Your Progress:

  • Use /w101-checkin-stats to see your check-in history and how many you have completed
  • Use /w101-profile to view your current rank and guild membership status
Once you have met all requirements, let a member of Wizard101 Leadership know — they will review and promote you to Full Member using /w101-promote-provisional.

Step 9 — Becoming a Full Member

Promotion to Full Member

After you complete your provisional requirements, a member of Wizard101 Leadership will promote you to Full Member. This happens through the bot and updates both your Discord roles and your in-game guild record simultaneously.

What Changes at Full Member:

  • Your Discord role updates from Provisional to Member
  • You receive access to any Full Member-exclusive channels
  • Your rank in the bot's guild record is updated to Member
  • You are now considered a permanent, standing guild member

Step 10 — Full Member Check-in Requirements & Staying Active

Full Member Activity Requirements

Being a Full Member comes with ongoing activity expectations. You are expected to meet all of the following on a regular basis:

1 Event Per Week

  • Events posted in guild announcements
  • Museum runs, farming, PvP nights, and more
  • Consistent no-shows without an exemption will be flagged

Bi-Weekly Check-ins

  • Both bi-weekly windows must be completed each month
  • Use /w101-checkin or react to the check-in post
  • Missing a window triggers an inactivity flag

Levelling Progress

  • Levels 30–70: 5 levels per week
  • Levels 70–180: 5 levels per month
  • Update via /w101-update-profile

Inactivity Process

  • 1.If you miss your check-in window, the bot will flag you as inactive
  • 2.An alert is sent to guild Leadership and you may receive a warning DM
  • 3.Wizard101 Leadership will review the case — you may be given a grace period to respond
  • 4.If there is no response and no exemption on file, you may be removed from the guild

Going on a Break? Use an Exemption

Life happens — if you know you will be inactive, let your guild know in advance. Wizard101 Leadership can apply an exemption to your account so you won't be flagged while you are away.

  • Contact your guild Wizard101 Leadership directly and let them know your expected absence
  • Wizard101 Leadership uses /w101-activity-exemption to mark your account as exempt
  • Exemptions are temporary — activity requirements resume when the exemption period ends
Always communicate with your guild before going inactive. Our Wizard101 Leadership team are understanding — surprise disappearances are what lead to removal.

  • /w101-join-guild — submit a join request to a guild

Common Questions

I didn't get a registration DM.

Make sure your Discord Privacy Settings allow DMs from server members. You can also register manually using /w101-register in any bot-enabled channel.

I selected the wrong guild during registration.

Contact a member of the Wizard101 Leadership team — they can update your guild membership using the bot's admin commands.

My check-in didn't register.

Make sure you are using the correct command in a channel where the bot is active. Run /w101-checkin-stats to verify. If it is still missing, contact Wizard101 Leadership.

I don't see the guild channels after registering.

Your roles may not have synced yet. Run /w101-sync-guild-roles or ask Wizard101 Leadership to manually re-sync your roles.

How do I know my provisional check-in requirement?

Use /w101-checkin-stats to see your current progress and requirement. A member of the Wizard101 Leadership Team can also confirm the exact number for your specific guild.

Can I be in multiple guilds?

Yes — the bot supports multi-guild membership. Each guild has its own rank and check-in requirements tracked separately.
